1. Bookings and Payments
1.1 Full payment is required at the time of booking.
1.2 Cheques should be made payable to REC (Bedford) Ltd.
1.3 Bookings can be made online at www.recbedford.co.uk, by phone, or in person.
1.4 Booking confirmations are issued immediately for online or in person bookings and by email for phone bookings.
2. Cancellations, Transfers and Refunds
2.1 If you wish to cancel more than 14 days before the course start date, a full refund or credit note will be given minus an administration charge of £5.
2.2 If you cancel within 14 days of the course start date, refunds or credit notes will normally not be given, but you may request a transfer to another course (subject to availability). Once a course has started, refunds or credit notes are not normally available.
2.3 Refunds will be processed within 30 days of accepting a cancellation and will be made using the original payment method.
2.4 Transfers to another course are permitted within 14 days before the start of a course or within 7 days after it has begun. If transferring to a course of a higher value, the difference must be paid.
2.5 In exceptional circumstances, such as illness preventing participation, management reserves the right to issue a refund or credit note. Please contact the office as soon as possible.
2.6 We reserve the right to cancel or change a course where necessary, including due to insufficient enrolment, tutor illness, venue issues or circumstances beyond our control. If we cancel a course, we will notify you as soon as we can before the start date and offer a full refund, credit note or transfer. In the event of severe weather, we aim to contact you as soon as possible on the morning of your course to inform you that the Rothsay Education Centre is closed.
2.7 We cannot accept responsibility if you are unable to attend a course or event you have booked or if we are unable to contact you using the details provided at the time of booking.
3. Members and Membership
3.1 Membership of the Rothsay Education Centre is required to use our facilities and attend courses or events unless otherwise stated.
3.2 Annual membership runs from the date of payment until the end of the academic year to which the membership relates. Termly membership runs from the date of payment until the end of the relevant term.
3.3 Members are expected to conduct themselves respectfully. Disruptive behaviour may result in membership being withdrawn.
3.4 We aim to be fully inclusive and accessible. Please contact us if you require any adjustments or support when accessing our facilities.
4. Trips and Events
4.1 Trips and events may have additional conditions. Full details are provided in the email launching the trip or event. Trip or event tickets are non‑refundable.
4.2 Members may book one guest during the priority booking period (the first week following the trip launch). After this period, and subject to availability, members may book two or more additional guests. Please note that all guests must be accompanied by a member. Emergency contact details for members and their guests will be requested on booking.
4.3 If a trip or event is cancelled because of circumstances beyond our control, we will offer a refund, a credit note or alternative date.
5. General
5.1 We aim to not discriminate on any grounds including age, race, gender, religion, marital status, sexual orientation, or disability. All participants are expected to uphold these values.
5.2 We protect your privacy in accordance with Data Protection legislation and process data under lawful bases including contract, legitimate interests, and consent. We may use anonymised data for analysis. Marketing communications are only sent if you have opted in. Further information about how we process personal data can be found in our Privacy Notice on our website.
5.3 A contract is formed when booking confirmation is received.
5.4 You must be over 18 and legally capable of entering a contract.
5.5 These terms are governed by the laws of England and Wales and do not affect your statutory rights.
